Job Descriptions:

Responsibilities

  • Work with Senior HR Assistant to make sure that all the required documents as per the checklist are updated in the recent hired staff files, files are properly updated, and all necessary documents are placed in the files.
  • Take lead on scanning of active and closed files rename each document as per the checklist and instruction and keep the scanned documents on hard drive and upload the active staff files to NAV system.
  • Work with Senior HR Assistant to make sure the HR database and in Excel sheets is updated with missing information including the most recent hired staff.
  • Monthly maintain of staff timesheets and make sure timesheets are submitted and are recorded in file and the tracking sheet is updated regularly.
  • Take lead on staff attendance, timesheets, and leave reports by communicating with relevant operations staff in field offices and Kabul to make sure attendance reports are received by 2nd of the coming month for part-time staff’s payroll preparation and share the reports and supporting documents to HR Coordinator for further process.
  • Represent Human Recourses in all interviews panels up to Officer level positions.
  • Support HR Coordinator on staff medical costs reimbursement claims and reports and maintain all staff medical claims record and reports.
  • Work with HRM to ensure that all staff included new staff has the updated job description (JD) and copy of the JD is exist in their personnel files.
  • Coordination and follow up on that all new staff probation period objectives set and appraised immediate after probation completion. 
  • Maintain staff annual performance appraisals, analysis and share the report with HR Manager/Deputy Director
  • Preparing letters for all staff to notify Cost of Living Adjustments and Performance based increments.
  • Support the HR Coordinator with preparing of payrolls, payslips, and taxes and other relevant tasks and would like to take lead on Freelancer payroll.
  • Prepare monthly leave reports and submit it to finance 
  • Assisting HR Coordinator in preparation of monthly and quarterly full-time and part-time staff status reports.
  • Take lead on staff exit clearance and final payment and make sure staff final payment is paid on time.
  • Provide administrative support, when required to the HR Deputy Director, HR Manager and HR Coordinator, by undertaking additional tasks and responsibilities as requested.
  • Any other tasks assigned by the line manager or overview manager

Job Requirements:

Person Specification

Education/ Training

The position holder must possess a Bachelor’s degree Business Administration with specialisation in Human Resource or another relevant areas.

Work Experience

  • A minimum of 3 years working experience in Human Resource Management with INGOs/NGOs or private companies/government.   
  • Proven ability to think and lead strategically, plan effectively, set priorities and meet deadlines.
  • Experience and understanding of international humanitarian and development work.
  • A consistent and proven track record as an exceptional team player
