Job Descriptions:

 

  1. Accounting system management:
    1. Assist Finance Manager in managing monthly payroll process and keep payroll records in coordination with the HR department.
    2. Process payment and purchase requests from projects and admin in close coordination with Finance Manager.
    1. Ensure all bills, vouchers and any other documents related to finance have been signed, stamped, approved and dated properly with support of procurement department.
    2. Record/entry financial transactions in the system on a daily basis.
    3. Preparing of vouchers according to NQA chart of accounts in close coordination with Finance Manager.
    4. Maintain bills and supporting documents in proper manner both soft and hard copies Such as (Income statements, Expense ledgers, original invoices and receipts for expenses with all required support documents).
  2. Banking and cash management: 
    1. Maintain and update a proper petty cash book for local cash expenses. The cash book should be updated and reconciled with the NQA office at least once a month.
    2. Assist Finance Manager in managing bank accounts and related records, cash disbursements, cash receipts and reports on status of accounts.
    3. Assist Finance Manager in management of cash flows in accordance with donor/ organization approved policies and procedures.
  3. Financial reporting:
    1. Preparing required data and document and assist Finance Manager in preparing accurate, timely (Monthly, quarterly, six-monthly, final and when needed), comprehensive financial reports, including income statements, balance sheets, and cash flow statements to NQA office, donors, ministry of economy and relevant Government sectors.
  4. Budgeting and forecasting:
    1. Contribute to preparing budgets and budget projection for projects and admin in close coordination with related departments.
    2. Contribute to providing and maintaining budget forecast in monthly, quarterly and annual basis.
    3. Contribute to requesting funds for projects and admin on a monthly – basis and according to agreements and scheduled time frame.
  5. Financial planning and analysis:
    1. Contribute with the Finance Manager to perform in-depth financial analyses to assess the financial performance of the organization and identify areas for improvement.
  6. Risk management: Assist Finance Manager in assessing and managing financial risks, including credit risk, market risk, and liquidity risk, and minimize potential losses.
  7. Compliance: Assist Finance Manager in ensuring that the organization adheres to all relevant financial policies, procedures, regulations and guidelines, including tax compliance and financial reporting standards.
  8. Audit management:
    1. Assist Finance Manager in preparing contracts and other documents based on both NQA and donor’s requirements.
    2. Facilitate the work of external and internal auditors and ensure that financial records are properly maintained and readily available during audits.
    3. Contribute to the negotiations process with the audit company.
  9. Accompany Finance Manager in finance related meetings and donor meetings when needed.
  10. Payment of all NQA tax on time & follow up.
  11. Project registration into Ministry of Economy’s online system and provide supporting financial documents.
  12. Update NQA equipment into Ministry of Economy’s online system.
  13. Assist Finance Manager in providing and presenting financial regulations including policies, procedures, and guidelines to the field officers and other relevant staff.
  14.  Assist Finance Manager in monitoring all financial activities and records at field level
  15. Maintain and update the non-expendable items and register with all relevant information and tag and label all items to ensure proper identification and tracking.
  16. Conduct regular physical inventory checks to verify the existence, condition, and location of non-expendable items and provide report to Admin department.
  17. Perform any tasks that are not covered in this job description and provide support to other departments when necessary.

Job Requirements:

Education & Professional Qualification

  • Holder of a bachelor’s degree in economy or related field (BBA, Business, Accounting, Finance) or other relevant field, Master’s Degree is preferred

Work Experience

  • A minimum of 2 years’ related experience in National or International, Non-Government Organization. 

 

Professional Skills, Competencies

  • Accounting professional qualification- Chartered/Certified Accountant (ACCA) or other comparable/equivalent qualification is a an added value. 
  • Demonstrable Financial Reporting Skills.
  • In-depth understanding of financial reports especially Balance Sheets & Income Statements.
  • Good Analytical skills.
  • Profession Knowledge in accounting software.
  • Proficiency in Computer applications (Excel, Word, Power Point etc.)
  • Excellent command of English (verbal and written).
