Afghan Youth Services Organization (AYSO) is a National Afghan NGO registered in 2006 with the MoEc of Afghanistan with registration No:397.AYSO since came into being has developed, successfully implemented, and provided direct assistance services in different   sectors such as health, educational, Food Security,  Capacity building, GBV Prevention and Response, Peace, Justice Research, and Surveys human rights and awareness projects and programs with the technical and financial support of several UN Agencies such as UNDP,UNFPA, UNICEF, WFP, and WHO, AYSO has implemented projects with government ministries and departments as well as has been being implementing partner with AAH/USAID, FHI, BARC, AADA,HEWAD, and other National and International Organization

Job Descriptions:

Scope of Work:

The admin & finance has the overall responsibility for administration, finances, filing system, correspondence, clerical services, office supplies and equipment of MYC. She is responsible for benefits administration, recruitment procedures, staff and students’ personnel files, and also supervising the support staff including guards and cleaners. She is expected that in cooperation with MYC coordinator to ensure efficient, effective, responsive, transparent and accountable provision of administrative and financial services to support the operation of MYC and its activities.

Job Requirements:

Responsibilities:

  1. Arrange office space and necessary equipment for all staff and ensure that all furniture and equipment are in proper order
  2. Ensure timely inventory of newly acquired equipment and assets
  3. Typing letters, reports, minutes of the meeting and other administrative duties and responsibilities
  4. Following and implementing AYSO recruitment procedures & rules and regulation for staffing and documentation and filling of all HR related documents and files of both staff and students
  5. Arranges and co-ordinates meetings, travels, transport and accommodation for staff and students when needed
  6. Prepare and manage a record system to keep track of confidential documents
  7. Facilitate organizing classes & events such as meetings, workshops and students gathering
  8. Preparing request forms of needs equipment and having update information about prices
  9. Receive visitors and attend to them in a polite and professional manner and follow-up on them
  10. Making and preparing of payment and other financial vouchers
  11. Manage daily, weekly, and monthly expenses of the MYC
  12. Verify and check bills for validity and accuracy
  13. Review accuracy of the invoices based on the goods received records and supporting document
  14. Updating and submitting cash book and weekly reporting.
  15. Verifying and updating staff attendance sheets and time sheets
  16. Prepare weekly and monthly progress reports and submit them to the Youth Manager.
  17. Perform any other tasks assigned by the Youth Manager or MYC Coordinator within the general scope of the described responsibilities or of the project.
